Global Village Academy is an innovative charter school. Students learn core content through language immersion in their choice of French, Spanish, Mandarin, German or Russian (depending on the school). GVA is truly a "global village." Summary

The Dean of Admissions is responsible for managing administrative tasks of the GVA Aurora campus, and for providing information and supporting potential families as they navigate the enrollment process.  This person will be most directly responsible for recruiting new enrollments, fostering strong retention, and managing the school's lottery. Successful candidates will be adept at working with the faculty and collaborating with the faculty and collaborating with the other administrators.

 

Essential Duties

  • Responsible for providing information and supporting potential families as they navigate the enrollment process.  This includes oversight of the enrollment process from start to finish, communications with the GVA management team, planning parent information sessions and all other communications as they relate to the enrollment process.
  • Responsible for recruiting new enrollments, fostering strong retention, and managing the school's lottery.
  • Processes incoming/outgoing students, including records maintenance, evaluation, orientation, and scheduling. Includes maintenance of current confidential student records and files, special enrollments, student census and class assignments. Provides information as required.
  • Supervises student record procedures including grade reports, test results, cumulative folders and student schedules.
  • Assists in the student check-in process.
  • Administers first aid and prescription medications to students (under the direction of a health care professional) in the absence of the Health Aide
  • Collects payments for a variety of events
  • Compiles data from a variety of sources (time sheets, budget reports, specialized reports)
  • Composes a variety of documents (correspondence, agendas, minutes, newsletters, reports)
  • Coordinates a variety of projects, functions and/or program components (e.g., facility usage, guest teachers, meetings, in-service events, travel and accommodations)
  • Coordinates daily substitute activities (certified and noncertified)
  • Maintains a wide variety of manual and electronic documents files and records (e.g., student registration data, student health forms, master calendar, budget data, employee records, financial records, reports)
  • Monitors a variety of activities on behalf of GVA Aurora (e.g., account balances, work order status, special projects, new teacher staffing, room assignments, maintenance work)
  • Oversees day-to-day office workload at assigned school location
  • Prepares a wide variety of reports, documents and correspondence of a confidential and non-confidential nature (e.g., letters, memos, meeting minutes, charts, operational procedures, etc.)
  • Orders supplies and materials
  • Reconciles account balances for assigned budget categories
  • Responds to inquiries from a variety of internal and external parties
  • Supports Principal and other assigned administrative personnel
  • Performs other duties as assigned

 Qualifications

  • At least 2 years of college or specialized advanced courses equivalent to two years of college in business or vocational school. Bachelor's degree is preferred.
  • Previous experience as an admissions or enrollment manager within charter or private schools
  • Bilingual  (Spanish preferred)
  • Proficient with student information system, such as Infinite Campus or Powerschool
  • Highly proficient in Microsoft Office applications and particularly Excel. Must also have willingness to learn new software applications
  • Detail oriented and very organized
  • Demonstrated ability to proactively manage multiple deadlines including excellent planning and logistics skills
  • Demonstrated ability to connect and communicate with multiple stakeholders
  • Excellent verbal and written communication skills
  • Ability to define problems, collect data, establish facts and draw conclusions
